Manager Guide – Employee Status Change
I have a limited employee I would like to convert to career.
** Floater and per diem appointments may not convert to career appointments
- Notify your recruiter that you would like to convert a Limited employee to a Career position
- Your recruiter will verify the requisition the employee was initially hired into meets the criteria to convert to Career (i.e This position may be converted to career status was written on the posting and incumbent was selected through a competitive recruitment process.)
- If NO, the position must be advertised and will follow standard process in posting
- If YES, recruiter will submits a request to SRC or DGSOM Hiring Committee (No requisition is needed if an incumbent is in the role as this is a budget change)
- If not approved, your recruiter will notify you and we cannot move forward
- If approved, you will be notified that the request has been approved. You will submit a Limited to Career Personnel Action Request (PAR) with the SRC/DGSOM Hiring Committee approval attached
I have a per diem employee I would like to convert to career.
- Notify your recruiter you would like to convert a Per Diem employee to Career
- A requisition must be posted for the position and approved by SRC/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved
- The requisition will be posted
- The per diem employee applies to requisition
- Offer is extended and per diem employee accepts offer letter
I have a limited employee who will automatically convert to career status due to the employee attaining 1,000 hours of qualifying service in a period of 12 consecutive months.
- The HR Service Center team will notify you and the recruiter that your limited employee will auto-convert to career status
- Connect with your recruiter to work with the Staff Diversity office approval
- Once approval received, submit a Limited appointment to Career PAR
- Indicate this is a request due to employee exceeding 1,000 hours of qualifying service in a period of 12 consecutive months 1,000 hours
- Attach any email approval received
I have a limited/per diem employee that will automatically convert to career status per the bargaining unit
- Recruiter receives notification from ER/LR on staff approaching auto-conversion per bargaining unit
- Recruiter contact you to let you know that the employee will auto-convert to a career status
- Recruiter looks for any open positions in the department to utilize
- If YES, there is an open position, the employee applies and an offer letter is extended/accepted.
- If NO open position, a requisition must be posted for the position and approved by SRC/DGSOM Hiring Committee. Employee applies and an offer letter is extended/accepted.
I have a career/limited employee that I would like to change a per diem appointment
- Consult with Employee Relations/Labor Relations on how to proceed
- If able to proceed, notify your recruiter that you want to convert a Career/Limited employee to a Per Diem appointment and you’ve discussed this with ER/LR
- The recruiter will assist in creating a requisition for the position and request approval by SRC/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved,
- The requisition will be posted
- The per diem employee applies to requisition
- Offer is extended and per diem employee accepts offer letter
I would like to change the FTE% for a career employee
**Career employees are appointed to work at least 50% time for an indefinite time
- Submit a request to change FTE % for a Career employee
- If request is from inpatient nursing (CNI, CNII, CNIII, ANI’s that are currently in career status at .5 or higher), submit a Change in FTE PAR (no SRC approval is required)
- If request is not from inpatient nursing, connect with your recruiter to submit the request to the SRC/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved, recruiter will notify you and you will submit a Change in FTE PAR with SRC/DGSOM Hiring Committee approval attached
I would like to change the FTE% for a per diem employee
- Connect with your recruiter to submit the request to change FTE % for Per Diem employee
- Recruiter will notify you if you are able to move forward and you will submit a Change in FTE PAR (no SRC approval is required)
I would like to change the FTE% for a part-time, limited or rehired retiree employee
- Connect with your recruiter to submit the request to the SRC/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved, recruiter will notify you and you will submit a Change in FTE PAR with SRC/DGSOM Hiring Committee approval attached
I would like to extend an employee’s contract appointment
- The HR Service Center team will send you a notice of a contract employees approaching end date
- Your recruiter will connect with you to discuss how you would like to proceed
- If you are not extending, the recruiter will notify HR Service Center that the contract will end as scheduled
- If extending
- Recruiter determines if cumulative duration will exceed 5-year contract policy limit. If not, the recruiter will route the request to SRC or DGSOM Hiring Committee for approval
- If approved, recruiter sends contract amendment to employee via DocuSign
- Employee and Recruiter sign contact via DocuSign
- Your recruiter will notify you once the request is approved and a new contract is signed
- You will submit an Appointment Extension PAR with the signed contract attached
I would like to convert a contract employee to career status
- The HR Service Center team will send you a notice of a contract employees approaching end date
- Your recruiter will connect with you to discuss how you would like to proceed
- You discuss with your recruiter that you’d like to convert the contract employee to a career status
- Your recruiter assesses if employee was initially hired through a competitive recruitment process and the requisition stated that the position may be converted to career:
- If YES, recruiter will route the request to SRC/DGSOM Hiring Committee for approval
- If NO, recruiter will notify you that position must be advertised and will follow standard process in posting.
- If the request is approved by SRC/DGSOM Hiring Committee, the recruiter sends memo[i] to employee to let them know of the status change
- Your recruiter will notify you once the request is approved and send you the status change memo
- Submit Limited to Career PAR with the memo attached
I would like to extend an employee limited appointment
- The HR Service Center team will send you a notice of a limited employees approaching end date
- Verify that employee is not near attaining 1,000 hours of qualifying service in a period of 12 consecutive months
- If the limited is near 1,000 hours, do not submit an extension request. Instead follow the Limited to Career (not auto-conversion) process
- If employee is not near 1,000 hours connect with recruiter to request an extension
- The recruiter submits request to SRC/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved, recruiter will notify you the request has been approved and send the SRC/DGSOM Hiring Committee approval
- Submit an Appointment Extension PAR with SRC/DGSOM Hiring Committee approval attached
I have an employee that is being classified into Career Tracks or reclassified
- Compensation will notify you have the change and submits Compensation Action Request (CAR) for Career Tracks or Reclassifications
I have a student employee who will not be on student status for a quarter (typically summer) and would like to work as a staff employee
- Submit an email to Audrey Lazaro and Michelle Guzman to request a UCLA Student in a Casual Restricted position be updated to a Staff position for the quarter (typically summer) the employee is not on student status.
- Include a copy of the original offer letter and CNA license if applicable
I have a UC student employee who will no longer be a UC student and I want to convert the appointment to a Limited/Contract/Career position
- Notify recruiter that you want to convert Student to Limited/Contract/Career
- A requisition must be posted for the position and approved by SRC[iii]/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved,
- The requisition will be posted
- The per diem employee applies to requisition
- Offer is extended and per diem employee accepts offer letter
I would like to extend a student appointment
- The HR Service Center team will send you a notice of a casual restricted (UC Student) employees approaching end date
- If you’d like to extend, submit an Appointment Extension PAR to request to extend the appointment
I would like to offer a Floater employee a Career position with my department
- Notify your recruiter that you would like to hire a Floater into a Career position
- Recruiter submits requisition request to SRC/DGSOM Hiring Committee
- If not approved, your recruiter will notify you and we cannot move forward
- If approved, recruiter posts position and follows normal recruitment process
I have an employee who is transitioning to a 100% remote out-of-state position
- You, leadership and the employee have agreed on making the position 100% remote Out-of-State
- Submit a PAR to change employee to 100% remote out-of-state position
