What happens when a TSS associate’s appointment ends? 

The TSS Team will notify you via email at least 2 months before the employee’s end date to remind you of their upcoming appointment end date. 

On the appointment end date, we will submit a separation notice to the Employment Database Team. Once the separation is active in the Employment Database, their AD account, Mednet email and employee ID# will deactivate. 

We do not process extensions for staff whose appointments are ending. Therefore, if you would like to bring on your associate into a career position, we strongly advise moving forward with this process a few months before their end date.  

Are TSS associates eligible for benefits? 

Yes, our staff are eligible for CORE benefits. 

Floater. A Floater is a Group A Appointment Type (Code 8) that is eligible for health and welfare benefits. However, Floaters are not eligible for membership in the UC Retirement Plan, nor are hours in Floater appointments counted toward the accumulation of 1,000 hours in a 12- month period for UCRP/Full Benefits eligibility.  Floaters are entitled to eligibility for Mid-level or Core benefits based on the percentage and duration of their appointment. If they are appointed at 100% time for 3 months or more, or at least 50% time for 12 months, they should be provided with Mid-level benefits. Floaters who are appointed at least 43.75% time for any duration are eligible for Core benefits

How is parking allocated for TSS staff? 

If your department is located in Westwood or Santa Monica, please reach out to the TSS Team to request parking. We will be able to request a parking allocation on the employee’s behalf.   

If your department is not located in Westwood or Santa Monica, you will be responsible for providing the employee with a parking allocation (if possible).  

Does TSS provide training on UCLA systems, CareConnect training, or training on other programs? 

The assigned department grants training on UCLA systems, such as BruinBuy or Travel Express. 

Both the TSS Team and the assigned department can grant training on CareConnect, our electronic health record system. 

The TSS Team is authorized to grant training on the CareConnect system for CAD 100, or “Schegistration,” which will enable staff to: 

  • Complete Registration, Schedule, cancel and reschedule appointments
  • Check patients in/out
  • Update patient status and run basic department reports

Are TSS associates represented by a union? 

If the employee is an Administrative Assistant II or III, the CUE union represents them 

Are TSS associates eligible for vacation, sick, and holiday time? 

Check your associate’s balances by logging into HBS TP TimeSuite, and under “Manager Tasks,” click on “Balances.” 

On average, our TSS associates accrue the following amount of vacation and sick leave time provided they are on assignment/pay status before each accrual date: 

Vacation/PTO – 12.320 hours  

Sick/ESL – 4.310 hours 

To use vacation/PTO 

The associate must request and clear it with the supervisor of their assigned department. Once approved, they may use accrued vacation/PTO. They will note the use of this time accordingly on their timesheet. 

  1. If the employee has pre-approved vacation time, please be sure to change the “Exception time to PTO-Vacation.” This process mirrors updating Holiday timewithout comping and recharging the hours.  

To use sick/ESL 

The associate must inform the supervisor of the department where they are assigned if they will be out sick, or if need to go home because they have fallen ill.  

Please note, however, that when recording sick time, per UC policy, the first consecutive 16 hours of absence (or sick time, in this case), are deducted from the vacation/PTO bank. It is ONLY from the third consecutive day onwards of being out sick, that the time off is actually deducted from the sick leave accrual bank. From the third consecutive day onwards of being out sick, please enter “Extended Sick Leave” accordingly on the timesheet. Associates will also need to provide documentation of extended sick leave, i.e. a doctor’s note, to both the Coordinator, and the supervisor of the assigned department.  

Are TSS associates eligible for Jury Duty compensation? 

Unfortunately, limited appointment employees are not eligible for paid Jury Duty service. Employees can still attend but will not be compensated for the hours. 

Are TSS associates eligible for bereavement pay?

We allow staff to take bereavement if a loved one dies. They will note this accordingly on their timesheet. Please note that bereavement is taken out of sick leave.
