About Onboarding and Clearance Process

This webpage outlines the onboarding requirements and process for both Clinical (CUHS) and Non-Clinical (NCUHS) UCLA Health Sciences Volunteer Programs. While requirements vary by role type, the overall onboarding process is similar.

Overview of the Onboarding Process

  1. Review Volunteer Eligibility Requirements to confirm eligibility.
  2. Apply through the Opportunity Link provided by your inviting supervisor.
  3. Complete the Volunteer Application via the Volunteer Dashboard (visual guide available).
  4. Await a system confirmation email after prescreening review.
  5. Complete all required onboarding steps, including paperwork, background checks, training, and health clearances.
  6. Sign up and attend an Onboarding Follow-Up Appointment with a program coordinator.
  7. Complete and pass the Orientation Quiz.
  8. Receive confirmation emails of your clearance completed and instructions to obtain your ID badge.

Typical turnaround time is 1–2 weeks, depending on background checks and clearance completion.

Paperwork and Forms (All Volunteers)

All volunteers must complete the following forms through the Samaritan system:

  • UCLA Health Sciences Volunteer Agreement
  • UCLA Encryption Attestation Form
  • UCLA Health Sciences Volunteer Acknowledgement Form
    • Elder, Child, and Domestic Abuse Reporting Forms
    • Election for Worker’s Compensation Form
    • Code of Conduct Attestation
    • Sexual Harassment Attestation

Minor volunteers will be required to complete additional forms with a parent or guardian.

  • CICARE Annual Online Training
  • Radiation Safety: Radiation Hazard Awareness Training
  • Safe Patient Handling Training (CUHS Volunteers)
  • Volunteers Cyber Security Training
  • UCLA Inclusive Excellence Training Modules
  • Clinical UCLA Health Sciences Volunteer Program Training (CUHS Volunteers)
  • Non-Clinical UCLA Health Sciences Volunteer Program Training (NCUHS Volunteers)
  • Lab Safety Fundamentals Training (via UCLA EH&S Worksafe, for Laboratory Based roles only)

Health Clearance Requirements

Clinical (CUHS) Volunteers

UCLA Students must provide a UCLA Health Volunteer/SRP Health Clearance Letter from the Ashe Center.

Non-UCLA Individuals must provide a completed Non-UCLA Student Volunteer Health Clearance Letter from a primary care provider.

Clinical Health Clearance Items Include:

  • Tuberculosis (TB) screening (must be within 3 months):
    • A negative TB blood test (skin tests are not accepted)
    • If your TB blood test is positive, you must also submit a chest X-ray showing negative TB results.
  • 2 MMR (Measles, Mumps, Rubella) vaccination or immunity
  • 2 Varicella (Chickenpox) vaccination or immunity
  • Annual Influenza vaccine (or declination)
  • Tdap (within the last 10 years)
  • Hepatitis B (immunity or declination)
  • COVID-19 vaccine (or declination)

Non-Clinical (NCUHS) Volunteers

NCUHS Health Clearance Items Include:

  • Completion of NCUHS Medical Surveys
  • Tdap (within the last 10 years or declination)
  • Hepatitis B (immunity or declination)
  • Annual Influenza vaccine (or declination during flu season)
  • COVID-19 vaccine (or declination)

Onboarding Follow-Up Appointment

This appointment is required before you may start the Orientation Quiz.

  • Format: Zoom (up to 30 minutes)
  • Attendance: Please arrive on time. Late arrivals cannot be admitted and will need to reschedule.
  • Scheduling: Appointments are available only after all onboarding requirements are completed. You may schedule one appointment. If you miss it, email your coordinator to have the appointment removed before rescheduling.

What to Prepare

  • Have the Opportunity Link sent by your supervisor readily available.
  • Ensure you have a stable internet connection, a working camera, and audio for Zoom.

What to Expect

  • Review of your Volunteer Scope of Duties, which outlines your role, expectations, and approved access.
  • Overview of volunteer policies, guidelines, and procedures.
  • Explanation of the remaining steps to complete your clearance.

Final Orientation Quiz

  • Background checks and required approvals may take one week or longer. Clearance is finalized only after all approvals are complete.
  • Review your program’s required Orientation Guides and materials before taking the quiz:
  • The Orientation Quiz becomes available after your Onboarding Follow-Up Appointment and requires a 100% passing score.
  • After passing, out team will make final reviews before activating your volunteer status.
  • Once your volunteer status is activated, the following emails will be sent:
    • A Learning Plan and Scope of Duties clearance confirmation will be sent to you and your supervisor.
    • A Program clearance confirmation email with ID badge instructions will be sent to you.
  • Active volunteers must wear their Volunteer ID badge at all times and may access resources through the Annual Compliance Dashboard.
